# Filling In Forms

#### Filling in Forms in Guardian Care Governance

It should be noted that in order to prevent multiple users from filling in forms simultaneously (and therefore potentially over-writing each others work) that sometimes documents will be locked when they are being filled in. 

This is by design. Often you will see a lock icon on a record. This means it is currently being edited. You should be able to view the record, but not edit it until the other user has finished. 

If you exit out of GCG whilst you are in a form, it will REMAIN LOCKED until either: 

1. You go back into GCG and unlock it (if this happens, you will be prompted when you log in) 
2. A senior manager unlocks it on your behalf. 

<mark style="color:$danger;">**Therefore it is very important that if you are filling in a form AT ANY TIME that you make sure you submit, or save and exit before navigating elsewhere in the app to prevent accidental locking of documents.**</mark>&#x20;
