# Filling In Forms

#### Filling in Forms in Guardian Care Governance

It should be noted that in order to prevent multiple users from filling in forms simultaneously (and therefore potentially over-writing each others work) that sometimes documents will be locked when they are being filled in.&#x20;

This is by design. Often you will see a lock icon on a record. This means it is currently being edited. You should be able to view the record, but not edit it until the other user has finished.&#x20;

If you exit out of GCG whilst you are in a form, it will REMAIN LOCKED until either:&#x20;

1. You go back into GCG and unlock it (if this happens, you will be prompted when you log in)&#x20;
2. A senior manager unlocks it on your behalf.&#x20;

<mark style="color:$danger;">**Therefore it is very important that if you are filling in a form AT ANY TIME that you make sure you submit, or save and exit before navigating elsewhere in the app to prevent accidental locking of documents.**</mark>&#x20;
